New Data Protection Rules

Introduction
We are committed to ensuring that any personal data we hold about you and your child is protected in accordance with data protection laws and is used in line with your expectations.
This privacy notice explains what personal data we collect, why we collect it, how we use it and how we protect it.
What personal data do we collect?
We collect personal data about you and your child to provide care and learning that is tailored to meet your child’s individual needs. We also collect information in order to contact you with news and updates throughout the school..
Personal details that we collect about your child include:
§ Your child’s name, date of birth, address, school address health and medical needs, development needs, and any special educational needs. We also use photographs from lessons, shows, events, workshops, trips, fundraisers to put on our website, social media sites and email newsletters.
Where applicable we will obtain child protection plans from social care and health care plans from health professionals.
We will also ask for information about who has parental responsibility for your child and any court orders pertaining to your child.
Personal details that we collect about you include:
§ Your name, home address, phone numbers, email address, emergency contact details, and family details.
This information will be collected from you directly in the registration form.
Why we collect this information and the legal basis for handling your data
We use personal data about you and your child in order to provide dance/performance education services and fulfil the contractual arrangement you have entered into. This includes using your data to:
§ contact you in case of an emergency
§ to support your child’s wellbeing and development
§ to manage any special educational, health or medical needs of your child whilst at our setting
§ to carry out regular assessment of your child’s progress and to identify any areas of concern
§ to maintain contact with you about your child’s progress and respond to any questions you may have
§ to keep you updated with information about our service
§ to send you your monthly/termly/costume/comp fee/event fee/trip fee invoices
We have a legal obligation to process safeguarding related data about your child should we have concerns about their welfare. We also have a legal obligation to transfer records and certain information about your child to the school that your child attends.
Who we share your data with
§ Local Authority
§ The ISTD (Imperial Society Of Teacher Of Dancing) A Governing Body which we follow for dance training and education syllabus purposes.
§ Third Party schools to enter/join their dance (ISTD) examination private sessions.
§ Third Party schools to send over students DOB, full name, address and comp status (novice/open) for competition regulations and entries.
§ The Local Authority for chaperone volunteers
§ The local Authority to send the children’s details to take part in our annual shows and or events/shows we are asked to participate in. (For example a full performance license maybe required for students who take part in 4 professional shows per year or exemptions/BOP for children who take part in under 3 shows per year). All information is recorded for the safety of your child of their whereabouts and participation in our shows/events.
§ The government’s eligibility checker (as above)
§ Our insurance underwriter (if applicable)
§ Our setting software management provider (Outlook/constant contacts and Dance Biz)
§ The school/nursery that your child attends
§ Our school administration team
We will also share your data if:
§ We are legally required to do so, for example, by law, by a court or the Charity Commission;
§ To enforce or apply the terms and conditions of your contract with us;
§ To protect your child and other children; for example by sharing information with social care or the police; (through our safe guarding policy)
§ It is necessary to protect our/or others rights, property or safety
How do we protect your data?
We protect unauthorised access to your personal data and prevent it from being lost, accidentally destroyed, misused, or disclosed by:
§ Storing any paper documents securely in a locked cupboard
§ Any electronic data is stored securely on password protected laptops (accessed only by management team) and where needed individual files are also encrypted.
§ Electronic data is backed up on an external hard drive which is stored securely in a locked cupboard
§ Our setting’s software programmes, Dance Biz, Outlook, Constant Contacts, the schools private computer are protected with individual user log in and password information.
How long do we retain your data?
We retain your child’s personal data for up to 6 months following written confirmation that you will no longer be attending the school. Medication records and accident records are kept for longer according to legal requirements (for up to 10 years after your child turns 18).
In some instances (child protection, or other support service referrals) we are obliged to keep your data for longer if it is necessary to comply with legal requirements (see our Children’s and Provider Records policies).
Automated decision-making
We do not make any decisions about your child based solely on automated decision-making.
Your rights with respect to your data
You have the right to:
§ amend or correct your/your child’s personal data (by filling in a new form)
§ request that we delete or stop processing your/your child’s personal data, for example where the data is no longer necessary for the purposes of processing.
§ request that we transfer your, and your child’s personal data to another person.
If you wish to exercise any of these rights at any time or if you have any questions, comments or concerns about this privacy notice, or how we handle your data please contact us. If you continue to have concerns about the way your data is handled please contact Sarah Royle, the dance principal and this matter will be dealt with us, the GPDR rules and regulations through the GDPR website.
Changes to this notice
We keep this notice under regular review. You will be notified of any changes where appropriate.
You have the right to withdraw consent at any time and you must do so in writing after signing our registration forms.

CHILD PROTECTION POLICY
Sarah Royle School Of Dance is committed to ensuring that those working with children and vulnerable adults adopt best practice to ensure the health, safety and welfare of the participants and staff.
The dance school will endeavour to promote the highest standards of care for all members, staff and officials by:
The adoption of the ISTD Health, Safety and Welfare guidelines.
The adoption of the ISTD guidelines for the Protection of Children and Vulnerable adults.
Ensuring that staff are suitably trained in Child Protection and Health, Safety and Welfare issues.
Ensuring that teachers and volunteers have been screened to confirm their suitability to work with children. Where appropriate this will include Criminal Record Bureau disclosure.
Ensuring that best teaching practice guidelines are followed at all times.
Ensuring that the teachers during lessons or events and will remain until the last child has been collected from the venue.
Having a zero tolerance level or poor practice, bullying or any potential form of abuse.
COMPLAINTS AND GRIEVANCE PROCEDURE
All complaints / grievances will be dealt with by the Principal.
Pre- Phase
In any type of complaint, it is advised that the issue is attempted to be resolved in the first instance with the person it is concerned with in a professional manor.
Phase 1 (Official)
1. The complaint must be sent in writing to the principal explaining all details within seven working days. The fact that it is a formal complaint must be stated clearly.
2. The principal shall inform the party to whom the complaint is being made against and request a reply in writing.
The principal will then proceed to:
1. Explore possible resolutions
2. Reply within ten working days with details of the actions they propose to take including reasons for the decision.
Phase 2
1. If the person still feels unsatisfied after the proposed solution has been carried out, the person must appeal in writing to the principal giving full details as to why they are not satisfied within seven working days after the solution date.
2. The principal must then arrange a meeting within fourteen working days for all those involved to resolve all issues and create mutual agreements.
3. It must be recorded by principal that the complaint/ grievance got to Phase 2, including all details in the ‘Complaints / Grievances & Disciplinary logbook.
N.B. It must be understood that the decision made by the principal of the dance school, Miss Sarah Royle are final and that any further reports of dissatisfaction will be taken as harassment which can lead to disciplinary action.
SARAH ROYLE SCHOOL OF DANCE POLICY STATEMENT
Sarah Royle School Of Dance is committed to exemplary standards of conduct through the principals of equity and good moral and ethical frameworks.
The club will ensure that all members of staff adhere to the following equity principals
All persons must respect the rights, dignity and worth of every human being.
All individuals must be treated fairly and equally regardless of gender, age, ethnic origin, religion, political persuasion or disability.
Equity must permeate throughout strategic and development plans.
An equal and professional service will be provided for all participants and discrimination through race, gender or disability will not be tolerated.
Sexual and racial harassment and discrimination will not be tolerated.
SARAH ROYLE SCHOOL OF DANCE HEALTH AND SAFETY POLICY
Sarah Royle School Of Dance recognises the duty it has under the health and safety acts and regulations to ensure the safety, health and well being of dancers, performers, staff members, volunteers and helpers when they are involved in school activities. In particular it recognises its responsibilities to:
Provide a safe and healthy training and competitive environment for dancers and staff members through assessing the risks associated with participation and controlling them to ensure they are minimised.
Ensure that adequate arrangements are in place in the event of an accident, fire or other incident.
Ensure that teachers and helpers have the appropriate teacher training.
Keep our arrangements under review and introduce additional measures considered necessary and practical in relation to the operation of the school business.
Parents/guardians must wait outside the studio to collect their child and must not enter the studio at any time.

Sarah Royle School Of Dance is committed to ensuring that those working with children and adults adopt the best practice to ensure the health, safety and welfare of the participants and staff.
The school will promote the highest standards of care for all members, staff and officials by:

Ensuring that grievances or complaints are dealt with promptly and in accordance with grievance procedures.
Having a low tolerance level to poor practice, bulling or any potential form of abuse.
One one one lessons are not held at the school at any time, if this was the case due to another child becoming ill. The parent would sit in the same room during the lesson or sit outside the room with the door open.
ANTI BULLYING POLICY STATEMENT
This Policy is based on the “KIDSCAPE” Anti-bullying Policy for Schools
Sarah Royle School Of Dance is committed to creating an environment where members feel they can work without threat, anxiety and fear. Bullying of any kind is NOT acceptable and should be shared with others. All members must understand that any incidents will be dealt with promptly and effectively.
What Is Bullying?
Bullying is the use of aggression with the intention of hurting another person. Bullying results in pain and distress to the victim.
Bullying can be:
- Emotional being unfriendly, excluding, tormenting (e.g. hiding books, threatening gestures)
- Physical pushing, kicking, hitting, punching or any use of violence
- Racist racial taunts, graffiti, gestures
- Sexual unwanted physical contact or sexually abusive comments because of, or focussing on the issue of sexuality
- Verbal name-calling, sarcasm, spreading rumours, teasing
Why is it Important to respond to Bullying?
Schools have a responsibility to respond promptly and effectively to issues of bullying. Any issues
of bullying should be shared and reported to Welfare Officer.
Signs and Symptoms
Somebody may indicate by signs or behaviour that they are being bullied. We should be aware
of these possible signs and that they should investigate if someone:
- doesn't want to come to the gym
- changes their usual routine
- becomes withdrawn anxious, or lacking in confidence
- starts stammering
- feels ill before coming to the gym
- comes home with clothes torn or property damaged
- has possessions go "missing"
- asks for money or starts stealing money
- has unexplained cuts or bruises
- becomes aggressive, disruptive or unreasonable
- is bullying other children or siblings
- stops eating
- is frightened to say what's wrong
- gives improbable excuses for any of the above
These signs and behaviours could indicate other problems, but bullying should be considered a possibility and should be investigated.
Code of Conduct for Dancers/Performers/students and Members/volunteers
We are fully committed to safeguarding and promoting the well-being of all our members. Staff and parents associated with the school should, at all times, show respect and understanding for the safety and welfare of others. Therefore, members are encouraged to be open at all times and share any concerns or complaints that they may have, about any aspect of the school with Sarah Royle (Principal). As a member of Sarah Royle School Of Dance you are expected to abide by the following club rules:
· All members must participate within the rules and respect the staff’s judgement and their decisions.
· All members must respect opponents and fellow school members.
· Members should keep to agreed timings for training and competitions or inform their teacher if they are going to be late.
· Members must wear the set attire for training and events as agreed with the teacher. All hair must be tied up. Remove all body jewellery.
· Members should not eat or chew gum during a session.
· Members must pay any fees for training or events promptly.
· Members must not smoke, consume alcohol or take drugs of any kind whilst representing the school at competitions or events.
· Members should treat all equipment with respect.
· Members must inform the principal of any injuries or illness they may have before the warm-up begins.
· Members must not use bad language.
· Members should remain with staff at the end of a session until collected by their parent or guardian.
. Members must not attend different dance/performance schools at the same time or you will be asked to leave with immediate effect as
this compromises professional relationships between ourselves and other dance principals.
. Further training such as Associate classes to enhance training is acceptable and allowed at SRSD to schools out of the catchment area
of Warrington.
Staff members will not accept any friend requests on social networking sites such as Facebook, twitter, instagram etc. This is a violation of our staffs privacy and all requests will be rejected from both members and students.
Code of Conduct for Parents
· Encourage your child to learn the rules and participate within them.
· No threatening or arguing with any staff members, volunteers.
· Publicly accept officials’ judgements.
· Help your child to recognise good performance, not just results.
· Set a good example by recognising good sportsmanship and applauding good performances of all.
· Never force your child to take part in sport.
· Always ensure your child is dressed appropriately for the activity and has plenty to drink.
· Keep the teachers informed if your child is ill or unable to attend any sessions.
· Endeavour to establish good communications with the school, staff for the benefit of all.
· Use correct and proper language at all times.
· Never punish or belittle a child for performance or making mistakes.
· Make sure your child arrives on time.
· Always collect your child promptly at the end of a session.
· Support your child’s involvement and help them enjoy their sport.
